Terms and Conditions – Origin Five
Booking Deposits
Payment of a booking deposit confirms acceptance of these Terms and Conditions. The sections below set out how bookings are managed, including staffing allocation, fulfilment, and the circumstances in which refunds or credits may apply.
Deposits secure staffing services for the scheduled event date and timeframe and cover staff availability, administration, coordination, rostering, recruitment activity, and booking preparation.
Booking deposits are applied to secure services and are managed in accordance with the cancellation, credit, and fulfilment provisions outlined below.
Final event details and indicative staff information are typically provided closer to the event date, often within one day of the event. Staff allocations may be confirmed later or adjusted due to availability or operational requirements. Any changes are managed in line with the agreed scope and these Terms and Conditions.
Payments and Remittance
Payments may be made via direct deposit or credit card. A 2% card processing surcharge applies to all card transactions.
For direct deposit payments, please ensure the invoice number is used as the payment reference.
Full payment of the remaining balance is required no later than 14 days prior to the event date, in accordance with the issued invoice, unless otherwise agreed in writing.
Failure to meet payment deadlines may result in staffing not being released and/or the booking being cancelled.
Staffing Allocation and Fulfilment
Origin Five operates as an on-demand staffing provider. Staff are allocated based on availability and are typically confirmed closer to the event date.
While reasonable efforts are made to fulfil all confirmed roles, staffing is subject to real-world operational factors. A staff member becoming unavailable does not constitute cancellation of the entire booking.
Where operationally possible, adjustments or replacement staff may be attempted; however, availability and timing cannot be guaranteed at short notice.
Customers are charged only for staffing time actually worked, subject to confirmed minimum shift requirements.
Cancellations, Credits and Rescheduling
Cancellations and rescheduling requests are assessed based on notice provided and the extent to which staffing and services have already been secured.
Cancellations or changes made 21 days or less prior to the event date will not result in a refund and may not result in a credit.
Where more than 21 days’ notice is provided, Origin Five may, at its discretion, offer a credit toward a future booking, subject to availability, operational requirements, and costs already incurred.
Any credit offered must be used within an agreed timeframe and is not transferable between bookings or dates.
Refunds, Credits & Staffing Fulfilment
Refunds or credits are assessed per individual staff member and per service delivered, not per booking as a whole.
If a staff member is not fulfilled or does not attend their scheduled shift, any prepaid amount relating specifically to that staff member may be refunded or credited for the time not delivered.
If a staff member arrives late, charges are adjusted in 15-minute increments based on the actual time worked.
Where operationally feasible and with the customer’s agreement, a staff member may work additional time at the end of the scheduled shift to make up for a late arrival. In these circumstances, no refund or credit applies to the time made up.
A single staff shortfall does not entitle the customer to a refund of the full booking.
Early release of staff does not qualify for a refund. Staff are paid for their confirmed minimum shift, which forms part of the basis of the booking and staff acceptance of the engagement.
Refunds or credits apply only to services not delivered and do not extend to indirect loss, inconvenience, or consequential costs.
All refund or credit requests must be submitted within a reasonable timeframe following the event to allow for review.
Performance and Reliability
Origin Five will use reasonable efforts to supply reliable and suitable staff for each booking. While every effort is made to fulfil confirmed shifts, Origin Five is not liable for unforeseen staff cancellations, late arrivals, or no-shows beyond its reasonable control.
Staff are supplied based on declared experience, role suitability, and availability. Differences in working style, speed, or approach do not automatically entitle the customer to a refund or credit.
Any performance concerns should be raised as early as practicable during the event to allow for assessment or corrective action where possible.
Any remedies, including credits or refunds, are assessed in accordance with the Refunds, Credits & Staffing Fulfilment section and apply only to services not delivered.
Fulfilment Updates and Know-By Requests
Customers may request a reasonable know-by date prior to their event to receive an update on expected staffing fulfilment.
Where such a request is made, Origin Five will use reasonable efforts to provide an update based on confirmed staff at that time. This update reflects the best available information and may remain subject to change due to operational requirements.
Fulfilment updates are provided for transparency only and do not alter applicable cancellation timeframes, payment obligations, or credit assessment.
Final staffing confirmations are typically provided closer to the event date and do not constitute a guarantee of fulfilment until shift commencement.
Staff Skillset and Role Scope
Staff are allocated according to declared skills and suitability for general event and hospitality support roles, which typically include basic food and beverage service, bar assistance, and general event support.
Staff are not trained fine-dining waiters and are not expected to provide silver service, formal multi-course service, or carry multiple plates unless specifically requested and confirmed in writing prior to booking.
Events requiring elevated or specialised service must be communicated in advance for suitability assessment.
Service Time Extensions
Staff are booked on an hourly basis.
Any additional time worked beyond the scheduled finish is treated as an approved extension where a staff member is requested, directed, or permitted to continue working by the customer or associated parties.
Additional time is billed in 15-minute increments at the applicable rate. Same-day extensions or on-site overruns may attract additional surcharges.
Payment for extended time is required promptly following the event. Outstanding balances may impact future bookings and may result in recovery action, with associated costs payable by the customer.
Same-Day Bookings and Public Holidays
Same-day bookings may be accommodated subject to availability. Confirmation is only provided once staff are secured. Urgency surcharges may apply.
Public holiday bookings attract additional surcharges.
Parking and Additional Costs
Customers are responsible for any parking fees or fines incurred by staff while attending the event.
Staff Review Policy
Staff performance is monitored internally. Staff who receive repeated substantiated performance issues may be removed from future bookings. In serious or substantiated circumstances, Origin Five reserves the right to restrict future engagements following a single significant issue.
Photography and Media
By engaging Origin Five, customers consent to the use of photos or video captured at the event for marketing purposes.
Consent may be withdrawn by providing notice prior to or during the event.
All media captured remains the intellectual property of Origin Five. Any media-related concerns must be submitted in writing.
Insurance and Liability
Origin Five does not provide public liability insurance for the event, the event location, or overall event operations.
Customers are responsible for arranging and maintaining appropriate public liability insurance covering the venue, event activities, and attendees.
Staff supplied by Origin Five are engaged on an individual basis and are responsible for maintaining any insurance required for the services they provide.
Invoices & Engagement
Quotes and invoices are issued for administrative purposes only and do not constitute engagement or confirmation of services. No booking is confirmed until payment is received. Payment of any amount constitutes acceptance of the quoted services and these Terms & Conditions.
Communications
By submitting an enquiry, booking services, or otherwise engaging with Origin Five, you agree to receive operational communications and occasional marketing updates. Origin Five may also contact businesses using publicly available business contact details, professional listings, referrals, or industry research for service-related or marketing purposes. Marketing email communications typically include an unsubscribe option, which is managed through the email marketing provider.
